Copy all incoming/outgoing emails

I am running the 30 day trial on Wingate Ent.. Currently I only have two mailbox going thru wingate via pop3. I want to know how I can have all incoming/outgoing email for these mailboxes copied to an admin account - sort of like a big brother function :)

Hi

WinGate can create copies of all messages that go through the SMTP processing queue.

This means if you want copies, then the messages need to go through this queue. If people are downloading mail via a POP3 connection to a hosting account, then the mail doesn't enter this queue. However, if the mail were being downloaded by WinGate's POP3 collection, and your users were getting it from WinGate after that, then it would be going through this queue.

So, there could be a way you can set this up to get copies. Also, to stop users connecting to external SMTP servers to send mail (so you can filter and intercept/copy all outbound mail), you can configure WinGate's SMTP server to intercept connections.

sorry for the late response.

Yes we have a pop3 hosting account. Currently, users connect to this pop3 mail server to send/receive emails. nothing is monitored.

I expect the Wingate server to be the email server now.

1. Wingate will send/receive emails for all our users pop3 email accounts
2. Users will only connect to the wingate server to access their emails.
3. All emails sent/received will be saved for legal purposes.

I was looking around and still couldn't find the option to save all incoming/outgoing emails. Can someone tell me where it is?

I'd like to find out soom because have placed our order for wingate ent. :) :) :)

Hi

It's in GateKeeper, under Email::delivery. There is an option called "Keep copies of sent mail" near the bottom.

This copies everything that is delivered to the \Sent folder

Delivered mail includes:

1. Mail delivered to local POP3/IMAP accounts
2. Mail retrieved by WinGate's POP3 collection for delivery
3. Mail received by SMTP for delivery

I created an email account for testing today. It is active and works.

To test the pop3 collection and save copies of sent email functions of wingate I did this:

Under email:collection I set wingate to collect all email for it@novus-me.com. Wingate will effectively collect email via pop3

The email account it@novus-me.com is on my desktop computer. Via Outlook the email account connects to 192.168.0.5 (wingate server) to send and receive email.

1. I tested sending emails from it@novus-me.com to another mail account and it worked. However sending from any account to it@novus-me.com or even from it@novus-me.com to itself does not work.

Via webmail I can see the emails are still in the pop3 mailbox. The wingate server is not collecting this email - even though I have put the correct login information for this account.

Do I need to setup a domain in wingate to do this? I thought I can simply have pop3 collection without setting up a domain.

2. All sent email is in /mail/spool. saved email is in .msg format. I can view this file in notepad but it will not open in outlook.

3. Where are the copies incoming email saved ?

Hi

Once WinGate has downloaded mail with POP3 collection, it needs to deliver them.

The mails are downloaded and put into the SMTP incoming queue.

So, if you want the downloaded mails to go into a local mailbox, you need to set up a domain so that the retrieved emails are deemed to be destined for a local mailbox.

this means you'll need to set up a domain.

Ok.

1. I created the domain novus-me.com. and default delivery method is Mailboxes for this domain are hosted on this server

2. For the mailbox it@novus-me.com I made it pop3

3. server domain name: novus-me.com
postmaster address: postmaster@novus-me.com

4. in the Collection tab,

account: it@novus-me.com
deliver to : any matching configured domain

details for it@novus-me.com:
server: novus-me.com
user: it
passwordd: xxx

checked -> use secure connection if supported by server (TLS)

delete mail only if it can be delivered

Basically what I want is the wingate server to collect mail from mail.novus-me.com from it@novus-me.com. Additionally it will send mail as well.

it-novus-me.com can only send/receive mail from the wingate server. It does not have access to mail.novus-me.com

I did the above and still Wingate will not retrive the emails for it@novus-me.com from the mail server - mail.novus-me.com

What am I doing wrong - do you need screenshots?
mail.novus-me.com is our email host for the company - domain is of course novus-me.com

Hi Clint,

What you could do is turn on debug logging for the SMTP service.

Wingate will record the transaction with the remote POP3 server here as it retrieves / collects, somewhere in there will be the solution to work with the Qbik team, when they are back online in a few hours.

Hi

We can extend your trial if you need.

Also, if all you want is to retrieve mail and be able to then pick it up from WinGate using POP3, you can actually do it without a domain. You can configure POP3 collection to just deliver into a mailbox, by just putting the name of the mailbox in the config - this is the same as the username used to retrieve it.

Thanks for the offer but we need Wingate so I rather purchase the full version rather than trial :)

When I get the full version I will post a msg to work on this pop3 collection.

But can you pls just clarify something.

1. Using POP3 to retrieve/send mails without a domain (since our domain is hosted outside the country), can we still keep a copy of outgoing and incoming emails? Of course instead of connecting to mail.novus-me.com, all users will have to go through the wingate server

2. I noticd outgoing emails were saved as a copy in the mail/spool/ folder. However, the emails were not sorted by user. Rather they were just in one folder. Can I have it sorted ito folder by users automatically? Does thisapply to incoming emails?

when you retrieve a mail using WinGate's POP3 collection, it is downloaded, checked against valid destinations (or if you are delivering all to a fixed one, then it has a destination). It is then put into the main mail delivery queue. This queue is designed to deliver mail to local and remote users. When this queue is processed, copies are kept if specified.

So, if you have POP3 collection pulling down mail, and delivering it to a mailbox name rather than a remote address, a copy will still be kept.

as for your second question, we don't keep separate outbound queues for each user, and this would be a sizeable structural change to do.

Basically are you just wanting to be able to keep a record of all mail in and out on a per-user basis? This isn't currently supported (i.e. all are lumped in together) but could be something we could add.

Yes we will be using wingate to save a copy of all incoming and outgoing mail via the pop3 function. This is one of the two main reasns we are purchasing wingate.

This is a far easier in terms of management route for managing emails. Furthermore, supposed the president wants to view all emails for an ex manager of the company, it would be beneficial if I didn't have to sort through all the copies of emails just for this ex managers emails.

I need some help. Am testing pop3 collection and sending and its not working. It keeps displaying username and password - hence it is not finding the mail server.

Presently, all users are assumed via ip address and connec to internet via transparent proxy. Internet browsing works fine.

Our email domain novus-me.com is hosted in europe and so too are the email accounts. All users now connect to their emal accounts from outlook using mail.novus-me.com - pop3

For testing I want assumed user lara to be able to send/receive via wingate server.

User: lara
assumed from ip: 192.168.0.7

email account: it@novus-me.com


On laras machine, in Outlook express, I setup her account with the username and password. username is it@novus-me.com. As for the incoming/outgoing mail servers, it set it to 192.168.0.9 which is the wingate box.

On the wingate box I need some help. I just want wingate to collect and send the email for lara. So that it can save copies of emails.

What do I need to do here:

Email> Domain (I don't want to host the novus-me.com domain)
Email> Mailboxes (lara mailbox is currently disabled)
Email> Delivery (checked keep copies of sent email)
Email> Misc settins (what do i enter for server domain name and system postmaster address)

Email>Collection (check account every one minutes, server is mail.novus-me.com, username is it@novus-me.com and password is entered. Use secure connection is supported by server radio button is selected and Delete mail only if it can be delivered)

Delivery tab: parse headers unchecked and default address is it@novus-me.com

Email>Server (what do i enter here if any)

Ok I read and followed the tutorial in scenario 3 of the wingate manual.

user: lara
has mailbox pop3 on server lara@novus-me.com

I configured lara to go through wingate - 192.168.0.9

In outlook express:
lara can send emails to all addresses
all addresses receive email

Test scenario:
lara@novus-me.com sends email to lara@novus-me.com from local machines outlook express.
she receives the email in her local machine outlook express

Test scenario 2:
lara@novus-me.com sends email from her isp provided webmail to lara@novus-me.com hoping it would go to her local machine.

lara does not receive the email although it is received by her isp in her webmail

test scenario 3:
clinthammer@hotmail.com sends email to lara@novus-me.com
email recv in laras isp provided webmail but wingate does not download this email for her

So main problem is lara cannot receive any emails from outside. Only email she gets is the one she sends to herself from her local machine (which connect to wingate).

Am I missing something?

Hi Clint

Probably easiest if we can get a tech support to log into your system remotely and debug your config for you. Normally we don't have any problems with POP3 collection.

Are you running remote desktop on that machine? Is it running on XP?
