Multiple Hour Email receipt delay on some mailboxes

Hi,

I am having an issue, where certain email boxes are taking hours to receive emails. The emails are waiting on the ISP Server. But for some reason the Wingate server isnt downloading said server. I have looked at all the mail setting and simply cant find it. Am I just missing something simplistic here?

I have set the receiving time of all the mailboxes to every minute out of frustration.

This is the last portion of an email header, of one specific Email that took 3 hours to get delivered to the mail box. This was with "Run all POP3 collection now" being spammed on the mail server, as well as the "client" machine "Send/Receiving" non stop.

Until the really smart folks get back to you, could you turn on debug logging for the POP3 collector (sorry, don't remember where it is) and that way you can get more information about what's happening in the background?

Hi

debug logging for POP3 collection for WinGate 6 uses the log settings for the SMTP server, so you turn it on there.

the POP3 collection jobs show up in the system internal activity panel on the activity tab in GateKeeper. Are they showing up there? We've had no reports of issues with scheduling these things.

The most likely issue is that there may be a heap of mail left in the mailbox, which the POP3 client has to skip past to get to the new stuff. On a relatively-poorly-connected server without UIDL support it can take a while to skip each message. This should be apparent from the debug logs if this is the case.

Hi,

Ok I have checked this specific mailbox, and you are correct. There are 400 emails lying in his mailbox which has not been deleted. I have now physically deleted them, and will await to see how fast...or slow the emails come through. If this solved it. Thanks in advance.

Ok I still have issues with some of the mail accounts.

Emails can take up to 60 minutes to get downloaded from the webmail boxes. I can see them lying in the webmail box if I log in with a Webmail client. But Wingate is simply not downloading them. It shows that its looking for mail. But its almost as if it just overlooks the mail in the mailbox.

If I do a "Collect POP3 Mail now" then I can see the processes running through the "System Internal Activity" Window. But horribly fast and then its gone. If a mail gets downloaded it does however show in the window.

I assume the log file is located under the SMTP folder in Logs?
If it is, this message is all over the show. Thousands of lines of this message, (so much so, that the log file is 40MB large) along with the emails downloaded scattered thinly in between.

Hi

logs for pop3 collection live in the WinGate\Logs\Pop3 collection folder.

The entries in your SMTP log show some issues with some orphaned .rcp files in your WinGate\Mail\Spool\incoming folder. Given the difference in IDs, some of these are probably quite old.

Which version of WinGate is this? We had some issues in earlier versions with rcp and msg files becoming separated which would lead to this sort of problem. You'll need to either delete the rcp files which don't have matching msg files, or try to find where the msg files may have been put (possibly postin, or dead). That should at least stop your logs filling up.

But you'll need to look in the pop3 collection logs to see what the hold-up is retrieving mail. Normally logging into a POP3 server, looking for new mail can be a very quick operation, so if there's no new mail and it flashes past in the activity window, that's expected. It should show downloading each message.

You should be able to see the progress of messages as they are retrieved and delivered. When retrieved by POP3 collection, the message is put into the Incoming folder and when it's all there (all downloaded) a rcp file is created with message routing information in it. Once this is created, a scanning thread will pick it up, scan the message for viruses (if you have Kaspersky AV for WinGate installed) and place it into the postin folder with the rcp. In there, another thread processes the rcp file for different destination domains (since the message can be intended for many recipients at many domains) and creates folders in the WinGate\Mail\Spool\domains folder for each destination domain, and an rcp file in there for each destination domain, and the msg file is moved to WinGate\Mail\Spool\Holding.

If the message is destined for a local mailbox (e.g. one hosted in WinGate itself), then the name of the domain is $local, so there will be a folder WinGate\Mail\Spool\Domains\$local

Normally local delivery to a local POP3 folder is just a file copy, so extremely quick. For IMAP there's a bit more work, since the mail needs to be processed to remove RFC822 escaping.

Delivery is scheduled depending on your deliver settings, such as

[x] Attempt immediate delivery
Process mail every [ ] seconds

These are another potential source of delay (e.g. if you only process mail at large intervals). Unlikely but possible.

<=S: -ERR AVG POP3 Proxy Server: Cannot connect to the mail server!

is an error coming back from the POP3 server that WinGate is connecting to. It basically implies the server isn't actually a server, but an AVG front-end which connects back to some real server behind it, and probably scans for viruses. Since it can't connect to the server behind it, it's reporting an error back to WinGate.

So looks like the administrators of that server need to know about it. It looks like the problem is either at their end, or in the configuration of the mail retrieval (username which seems to specify a server as well).

Hi Adrien,

I had a look at that AVG error as well when I found it. I can get that AVG error to dissapear when I disable the "Email Checking" in AVG itself, which is running on the server.

After disabling that in the AVG Client. Here is an updated Log for today : (it doesnt show that error anymore)

However I doubt these logs are complete. It only seems to be reflecting 5 or so users over and over again. Neglecting the other 15 users. However the other users do get emails. I just took 1 minutes worth of logs. But that which is reflected above is basically repeated all the way through. I am more than willing to upload the whole thing. Just not sure if you want me too.

I have deleted/recreated the "Vincent" user as well as Email account within wingate and it still simply ignores the emails which are lying in the webmail server. When I change his Client to download directly from the Webmail server it works just fine. For some reason Wingate just ignores his email box. I have triple checked his settings and it lines up with all the other users "User settings" "Mailbox settings" "collection settings" and the works. I simply dont know how to fix this. It also seems like some other users get this issue. But its so irregular, I cant test or determine when it happens.

Have I maybe setup the server incorrectly? Why would I be getting emails then?
And why would some of the users get emails all the time and only some at random times?

anyway, there are some issues..... all those log lines

Traffic 0 0 0 0 0s

relate to sessions that never managed to connect to anything. I'd expect connection failures to be logged. What os is this, XP? Check system log for warnings from TCP/IP.

the accounts that are being "ignored" are these to the same pop3 server?

It's a Win7 Machine thats acting as our Mailserver.

The accounts which are being ignored are the Same pop3 server.

The system log in Wingate simply shows the authentication issues to banned websites.
If it was the servers TCP/IP which keeps dropping, why would it only affect specific mailboxes and always the same ones?

We can gladly setup a remote connection through Teamviewer if you have some time.
